West Coast RV Rentals Rental Terms for travel between 01-Jan-2008 and 31-Dec-2008

DRIVER QUALIFICATIONS
A valid driver’s license is required from the country of residence. The minimum driver age is 25 years. Maximum 70 years. Only persons named on the contract are permitted to drive the rented vehicle. Drivers between 21 and 24 years are permitted with a
$10/day insurance supplement. A copy will be made of passport and driver's licence.

SECURITY DEPOSIT
An imprint and verification by a VISA or Mastercard is required as security deposit while the vehicle is out on rental. All deposits will be processed.

FUEL & PROPANE
Vehicles are at least half full of fuel and propane at pick-up and must be returned at least half-full by clients prior to dropoff at the station.

TRAVEL RESTRICTIONS
Campers are permitted to be driven in Alaska, Northwest Territories and Yukon upon payment of a $700 Northern Surcharge when requested at time of booking. Travel through “Death Valley” is prohibited from April 1 to September 30 due to extreme heat.
Travel to Mexico is not permitted. Motorhomes are not permitted to travel on gravel roads. Travel on the Dempster Highway, Laird Highway and Dalton Highway is prohibited in all cases. Our C28 and C30 Motorhomes are not permitted to travel in Alaska,
Yukon and the Northwest Territories. In case of violation, the renter assumes full responsibility for all damage to the vehicle including engine and tires. In addition a penalty of $1000 will be assessed to all renters who violate this provision of the contract.
Please refer to insurance coverage for further details. No pets allowed. Supplier assumes no responsibility for mechanical repairs or expenses if the vehicle is travelling in a restricted area.

NORTHERN SURCHARGE
$700 per rental for travel on the following routes:
- Alaska Hwy (#97) north of Fort St. John, BC.
- Steward-Cassiar Hwy (#37) north of Meziadin Junction, BC.
- MacKenzie Hwy (#35) north of Peace River, Alberta.
- yukon and Northwest Territories.
- State of Alaska

In addition, clients are advised that the restrictions on travel in Northern BC, Yukon, Northwest Territories and Alaska pertain to specifc highways leading to and from the northern regions.
The Liard Hwy (#77 in BC and #7 in NWT); and the Dempster Hwy (#5 in the Yukon and #8 in NWT); and Hwy #2 north of Fairbanks; and the Dalton Hwy in Alaska are prohibited in all cases. 28' and 30' Motorhomes are not permitted in Yukon, Alaska and NWT.

Pickup Day
Same day arrivals from overseas are not permitted due to travel fatigue, customs clearance and flight delays that cannot be anticipated.
Clients are required to advise us accommodation name, address, telephone number, and room number so that we can arrange transfers to the rental station for pickup whether, from airport or downtown hotels.

On the Road
Instruction Manuals are provided in all vehicles.
Clients could call Toll Free number throughout North America  to report accidents and mechanical problems. Failure to do so may void insurance coverage

Campground Stays
Clients are required to stay in campgrounds throughout their rental period. Names and locations are provided in the BC Accomodation guide and the Alberta Camping guide.
Microwave and air conditioning only operate on electrical hookup. Electrical hookup is particularly important in late summer and fall as days draw shorter and nights are cooler. Overuse of lights in the camper will drain the battery.

Dropoff at Rental Station
Clients may be asked to vacate the vehicle within half an hour of returning to the rental station Holding tanks must be empty, and black and gray water valves open. ($125 fee to empty).
Clients will be charged a late fee of $25/hour if they do not return by 12 noon without permission.
Clients are returned to the airport or airport hotels. Taxis to downtown are approximately $30 with a maximum of four persons in a cab depending on luggage. Mini-vans can also be ordered on request.

Last Night Before Dropoff
Clients should overnight within 100 kilometres of the rental station in order to arrive before 12 noon. Campgrounds near Calgary are located on the Trans-Canada hwy from Lake Louise (3 hrs). Sea-to-Sky Hwy from Whistler, and US border to Vancouver takes about 2 hours. If returning from Vancouver island to Vancouver, clients must ensure they travel no later than
the 9 am sailing.

REPAIRS

All repairs to the rental vehicle exceeding $75 require prior authorization from the rental station. Clients are required to call collect for approval. Without prior approval and proper receipts, no refunds will be made. Clients will be reimbursed for their costs of oil
and coolants. Tire pressures must be maintained.
Dodge and Ford are represented by authorized dealers throughout Western Canada and the USA.

STORAGE
We provide facilities to store luggage without charge.
All storage is at Renter’s own risk.

DISCOUNT CARD
10% discount card for KOA campgrounds.

ORIENTATION
A minimum of 45 minutes to one hour is required to familiarize the client with the operation of the rental vehicle prior to departure. Instruction Manuals are provided in all vehicles.

RESPONSIBILITY
Supplier is not responsible for hotel charges, car rentals, meals, transportation, or any other incidental or consequential costs in the event of a mechanical breakdown. Liability is expressly limited to the schedule of daily rental rates. See details under Insurance.

EARLY RETURNS
No refunds for early return of the vehicle, or unused kilometres.

SECURITY DEPOSITS ARE PAID By CLIENTS
1. $4500 deposit when CDW and VIP are not taken - ($4500/$1000 deductible).
2. $1500 deposit when CDW is taken - $15.00 per day ($900/$400 deductible).
3. $2000 deposit when VIP is taken - $20.00 per day ($600/$300 deductible).
4. $1000 deposit when LDW is taken - $30.00 per day ($300/$200 deductible).

TRAVEL INSURANCE

We strongly recommend that clients ensure they take out the highest level of travel insurance. In many cases this will cover any losses incurred if you are forced to cancel your booking.

BASIC COVERAGE
Basic insurance limits the clients deductible to $4500 for each motor vehicle accident, except for losses not covered by insurance as specified, which are the responsibility of the customer.
The amount of liability can be reduced by purchase of CDW, VIP or LDW.
Comprehensive coverage is limited to $1000 deductible.

CDW - COLLISION DAMAGE WAIVER

The deductible for MVA damage is reduced to $900 ($300 for windshields) with the purchase of CDW at $15 per day.
Comprehensive coverage is $400 deductible.

VIP INSURANCE – VACATION INTERRUPTION PROTECTION
The deductible for MVA damage is reduced to $600 ($200 for windshields) with the purchase of VIP at $20 per day.

VIP also covers pre-approved expenses for accommodation, and transportation (excluding fuel and food) up to the amount of the daily rental rate in the event of a mechanical breakdown requiring the vehicle to be in for repair for more than 12 hours.

Mechanical breakdown does not include the malfunctions of the radio/CD player, air conditioner, stove, oven, microwave oven, refrigerator/freezer, generator, furnace, water pump/water heater, or any appliance. VIP applies only if mechanical breakdown to be repaired is for more than 12 hours after being reported to the appropriate supplier's rental station.

Maximum liability coverage for Vacation Interruption Protection is $1500 per rental. Customers must present receipts for refund of expenses for car rental and accommodation.

VIP is not valid in event of a motor vehicle accident. VIP does not include coverage for personal injury.

LDW COVERAgE - LOSS DAMAGE WAIVER
LDW includes all the benefits of VIP coverage. The deductible for MVA damage is reduced to $300 with the purchase of LDW at $30 per day.
Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders it inoperable. Loss of use charges are based on the daily rental rate while the rented vehicle is out of service.
The Client will not be required to pay for Loss of Use of the vehicle with the purchase of Loss Damage Waiver (LDW) at $30 per day. LDW coverage includes Vacation Interruption Coverage (VIP) up to $1500 per rental.
In the event of a motor vehicle accident a Police Report is required for insurance coverage to be effective. Losses not covered by insurance are specified and do not require a police report.
The Client may be required to pay the Crash Responsibility Charge of up to $250 that may be levied by the Insurance Corporation of BC in the event of the client causing an accident.
Security deposits are held by supplier until all costs for damage are finalized, and/or such time as the Insurance Corporation of British Columbia has determined damage liability.

BREAKDOWN AND REPAIRS
The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The Client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of mechanical failure or breakdown.
The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject to the location of the vehicle and business hours of the repair facilities.

DAMAGE ASSESSMENT FOR INCIDENTAL DAMAGE
A Damage Assessment Fee of $200 may be charged for each occurrence of incidental damage caused to the vehicle.
Incidental damage includes damage caused by backing into stationary objects, scraping against stationary objects, striking the roof and sidewalls, rock chips and interior damage.
Damage to the rear, sidewalls, roof and air conditioner on the camper or motorhome can be avoided by being aware of overhead objects, driving slowly in campgrounds, parking lots and service stations, and having someone outside the vehicle as a guide in tight situations and when backing up.
Any additional documentation of incidental damage that may be required by the provider of third party insurance coverage will incur additional administration fees.
We urge clients to be particularly careful of the vehicle to avoid incidental damage.
Motor vehicle accidents that require a Police Report are not considered to be incidental damage.

BC ROAD SAFETY - CHILD BOOSTER SEATS

New regulations for child booster seats come into effect in British Columbia on July 1, 2008.
Under the new regulations, children who have outgrown their child seats will be required to use a booster seat until they are nine years old, unless they are 145 cm (4'9") tall.
The use of a booster seat in a motorhome equipped with lap and shoulder belts will be required when the new regulations come into effect.
There is an exemption for vehicles that do not have lap and shoulder belts, in which case the child can be restrained with the lap belt alone, without a booster seat.

Clients must  bring their own child restraint seats and booster seats. Supplier rents only baby seats.

We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

Basic insurance limits the clients deductible to $3800 for each motor vehicle accident, except for losses not covered by insurance as specified, which are the responsibility of the customer. The amount of liability can be reduced by purchase of CDW, VIP or LDW.
Comprehensive coverage is limited to $1000 deductible.

CDW - COLLISION DAMAGE WAIVER
The deductible for MVA damage is reduced to $900 ($300 for windshields) with the purchase of CDW at $20 per day. Comprehensive coverage is $400 deductible.

VIP INSURANCE – VACATION INTERRUPTION PROTECTION
The deductible for MVA damage is reduced to $500 ($200 for windshields) with the purchase of VIP at $23 per day.
VIP also covers pre-approved expenses for accommodation, and transportation (excluding fuel and food) up to the amount of the daily rental rate in the event of a mechanical breakdown requiring the vehicle to be in for repair for more than 12 hours. Mechanical breakdown does not include the malfunctions of the radio/CD player, air conditioner, stove, oven, microwave oven, refrigerator/freezer, generator, furnace, water pump/water heater, or any appliance. VIP
applies only if mechanical breakdown to be repaired is for more than 12 hours after being reported to the appropriate supplier's rental station. Maximum liability coverage for Vacation Interruption Protection is $1500 per rental. Customers must present receipts for refund of expenses for car rental and accommodation.
VIP is not valid in event of a motor vehicle accident. VIP does not include coverage for personal injury.

LDW COVERAGE - LOSS DAMAGE WAIVER
LDW includes all the benefits of VIP coverage. The deductible for MVA damage is reduced to $300 with the purchase of LDW at $29 per day.
Loss of use charges result from single vehicle or third party accidents when damage to the rented vehicle renders it inoperable. Loss of use charges are based on the daily rental rate while the rented vehicle is out of service.
The Client will not be required to pay for Loss of Use of the vehicle with the purchase of Loss Damage Waiver (LDW) at $29 per day. LDW coverage includes Vacation Interruption Coverage (VIP) up to $1500 per rental. In the event of a motor vehicle accident a Police Report is required for insurance coverage to be effective. Losses not covered by insurance are specified and do not require a police report. The Client may be required to pay the Crash Responsibility Charge of up to $250 that may be levied by the Insurance Corporation of BC in the event of the client causing an accident. Security deposits are held by supplier until all costs for damage are finalized, and/or such time as the Insurance Corporation of British Columbia has determined damage liability.

BREAKDOWN AND REPAIRS
The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The Client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of mechanical failure or breakdown. The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject
to the location of the vehicle and business hours of the repair facilities.

DAMAGE ASSESSMENT FOR INCIDENTAL DAMAGE
A Damage Assessment Fee of $200 may be charged for each occurrence of incidental damage caused to the vehicle.
Incidental damage includes damage caused by backing into stationary objects, scraping against stationary objects, striking the roof and sidewalls, rock chips and interior damage.
Damage to the rear, sidewalls, roof and air conditioner on the camper or motorhome can be avoided by being aware of overhead objects, driving slowly in campgrounds, parking lots and service stations, and having someone outside the vehicle as a guide in tight situations and when backing up.
Any additional documentation of incidental damage that may be required by the provider of third party insurance coverage will incur additional administration fees.
We urge clients to be particularly careful of the vehicle to avoid incidental damage.
Motor vehicle accidents that require a Police Report are not considered to be incidental damage.

The supplier's rental stations are close to airports in Calgary and Vancouver. About 4 kms/20 minutes.
The supplier starts collecting clients from airport and downtown hotels at 08:30am which is included in the Prep Fee. Most vehicles are on the road by noon.
The supplier also offers extended service hours on Sundays and Holidays upon payment of $75 per occurrence at pickup and drop-off. It can be helpful to know about this service when arranging your flights.
Clients arriving on Canadian domestic flights must arrive by 2pm, and on US flights by 1pm in order to clear Customs, and be at the station no later than 3pm for same day pickup. Clients arriving direct from overseas must spend one night in a hotel to adjust to the time difference, and then start early the next morning.

Vehicle returns
Vehicles have to be back before 12 noon. Client needs to call if they will be delayed. There is a $25/hour late fee. There are numerous campgrounds around the city so that your drive to the station is no more than a couple of hours. Transfers at drop off are to the airport and airport hotels. You must allow sufficient time to be sure that all holding tanks are empty before returning to the station, and to pack your belongings to vacate the vehicle upon arrival at the rental station.
