Casual Camping Canada Rental Terms

Important information about your rental

On arrival you will be required to sign a rental agreement with the operators of Casual Camping Canada. Here is a summary of the terms and conditions:

Definitions
The following definitions apply for the Terms and Conditions for Casual Camping Canada.

-  The Supplier means the operator of Casual Camping Canaday.
-  The Client is also referred to as the hirer (s) and/or the driver (s).

PAYMENTS

- An initial booking confirmation deposit as itemised in the hirer's booking breakdown of costs will be required at time of booking confirmation. 
- The hirer's remaining rental charges will be payable by Visa or Mastercard 35 days prior to the commencement of the hirer's rental.
- Taxes and payment for some additional extras like one way fees, convenience kits, insurance options etc may be payable directly to the supplier on the day of rental commencement when the hirer pick up the hirer's vehicle.   If this is the case this again will be itemised in the hirer's breakdown of booking costs.

CANCELLATION POLICY
The initial deposit paid is non-refundable. In addition to forfeiting the hirer's deposit, the following charges also apply:
- No fee if booking is cancelled within 3 days of request.
- Up to 33 days prior to departure CAN$200.00 plus GST .
- 32 - 19 days before scheduled departure: 60% of total remaining rental charges plus GST.
- 18 - 4 day(s) before scheduled departure: 75% of total remaining rental charges plus GST.
- No show – 90% of the total remaining rental charges plus GST.
- One-way fee is also payable in full on one-way cancellation.
- Fees for additional extras and optional insurances are not payable in the event of a cancellation.
- No refunds for early returns.
- The supplier will not refund any reservation cancelled, missed or otherwise as a result of war or an act of terrorism.

VEHICLE PICK UP & RETURN HOURS
The vehicles are generally handed over between 10:00am and 3:00pm and must be returned between 8:00am and 10:00am. No pick ups or drop offs after 3:00pm. Late returns will be charged an extra CAD$50/hour and the transfer to the hotel will be void.
No refunds for early return.

PICK-UP AND DROP-OFF INSTRUCTIONS
Pick up and Transfer Times are between 10am to 3pm.
The client must phone early in the morning or the day before, if they wish to be picked up. The client must pick-up and return the vehicle at the supplier's depot unless otherwise specified. Upon delivery of the vehicle, the client must hold a voucher containing the particulars of the rental: party’s name, reference number, type of vehicle, items prepaid and items to be paid locally.

EXPRESS PICK UP:
To serve customers faster and better the supplier ask that the following customer information be sent to us at least one week prior to pick-up.
A. Name, address, phone number and credit card number with expiry date of principal driver, email address.
B. Name and driver’s licence number of additional driver(s).
C. Name and address of transfer hotel.

DEPOT DISTANCE FROM THE AIRPORT
Vancouver 40km
Calgary 7km

TRANSFERS
Vancouver & Calgary: Pick-up and drop-off at Downtown Hotels, Airport Hotels, and in Burnaby at the Accent Inn. Drop off at airport as well. The traffic, especially in Vancouver, is unpredictable and the supplier therefore will work closely together with a Taxi Company in order to serve customers on time.

EARLY RETURNS
No refund for early returns. No refund for unused kilometres.

ORIENTATION:
1. The supplier thoroughly explain the vehicle and appliances to customers in person with detailed instructions so they will be sure to enjoy their camping trip.
2. The supplier explain the rental contract at which time the supplier will collect for items not prepaid, insurance premium and cleaning security deposit.
3. The supplier give advice on where and how to drive in Canada. An explanation of how to operate the vehicle will be given in English,
German, Dutch, Italian or French according to the client’s preference.
4. The clients will receive free tour packages, maps and campsite information along with a personal explanation of things to do and see! Free storage of luggage is also provided.
5. A reminder sheet will be given informing the client again what to do in case of breakdown or accident, rules and regulations of the road and how to maintain the different vehicles to operate the RV safely.

The supplier familiarize customers personally with vehicles and if requested, the supplier will take them for a short test drive. The supplier spend 60 minutes on this “hands on” explanation. (NO video!)

RENTER’S RESPONSIBILITY
Every renter must have a valid credit card to be able to rent an RV from the supplier. The renter is responsible for the vehicle and will be charged for any misuse or undue care, mechanical damage due to negligence in vehicle operation or failure to provide normal maintenance. This includes checking engine oil, fluids and coolant levels at each refuelling, as well as reporting mechanical failures immediately. Necessary repairs over CAD$75 require/need prior authorization from office. Insurance coverage is void by not reporting any damage to the supplier and Insurance Company within 24 hrs.

FUEL INFORMATION
Fuel costs are the Renter’s responsibility. No claim is made as to fuel consumption. Fuel is full before departure and must be returned full.

STORAGE
Free storage of luggage, cars and/or airline tickets is available. All storage is at Renter’s risk.

AVAILABILITY
If, for any reason, beyond the supplier's control the reserved vehicle is not available, the supplier reserves the right to substitute a vehicle of equivalent value, to refund all payments without further liabilities, or offer a higher rated vehicle at no extra cost to the renter. Any subsequent expenses (additional ferry costs, gasoline, etc.) are the renter’s responsibility.
Should a lower rated vehicle be offered, the supplier’s only obligation is to refund the cost difference between the two vehicles. In the
event that the renter refuses to accept the vehicle offered, the renter acknowledges that all payments will be forfeited and he/she will
have no further loss or damage against the supplier.

MINIMUM RENTALS

- 1 week minimum for rentals
- 1 week minimum (newly reduced) on Vancouver-Calgary (or vice versa) one-way bookings
- 2 weeks minimum on Class A bookings
- 3 weeks minimum on Northern Rentals

DRIVER’S REQUIREMENTS AND TRAVEL RESTRICTIONS

ROADSIDE ASSISTANCE
Customers renting the supplier's vehicles, have 24-hour Ford and Chevrolet roadside assistance in Canada and the USA.
This service does not cover the expenses for non-mechanical difficulties such as running out of gas, cooling fluids or oil, tire and radio problems, air conditioning, losing keys, non functioning of the fridge.
The supplier also give customers a toll free emergency phone number where the supplier can be reached daily from 8am to 7pm. The supplier therefore do not cover any cost incurred by use of cell phones.

NORTHERN RENTALS
A surcharge of $300 applies to rentals traveling north of Fort St. John on the Alaska Hwy, Cassiar Hwy, into Yukon and Alaska.
Northern use must be specified and confirmed at time of reservation. The supplier allow northern rentals with non-slide C22’-C25’ and C26’ slide out.

CLEANING DEPOSIT
$200 ($300 for the A Class) is processed at time of rental and refunded upon return of clean unit.
No pets/animals allowed!
No smoking allowed in any of the vehicles!

INSURANCE
The supplier maintains liability coverage on all its rental vehicles to a maximum of $5,000,000 for any bodily injury and property damage liability claims arising from the operation or use of its rental vehicles. Premiums for this basic public liability coverage are included in all rental rates, which also include premiums for collision insurance and comprehensive insurance (CDR) with a deductible of $1,500 per occurrence. All coverage and waivers are subject to the express terms of the rental contract and of the applicable motor vehicle insurance contract.

DAMAGE TO VEHICLE
Customer’s Responsibility

In the event of loss or damage to vehicle while on rental, whether or not due to the fault of the rental customer, the customer’s responsibility for direct and accidental loss or damage to the vehicle is limited to a maximum of $1,500 per occurrence. There is no limit however if vehicle incurs loss or damage not covered by the insurance as outlined in the insurance table.

DEPOSITS
At time of rental the supplier charge the renter’s credit card with a Cleaning Deposit ($150 / $250 Class A) and take a signed imprint as an Insurance Deposit. Deposits are refundable upon vehicle’s check-in if it has been returned: On time, un-damaged, clean, equipment complete, holding tanks empty and gas tank full. Deposits given by charge – credit cards, will be refunded by same.

TRAVEL NOT ALLOWED
Motorhomes are not permitted on Dempster Hwy, Inuvik, Northwest Territories, Mexico or Death Valley. Alaska and Yukon, Cassiar Hwy, Alaska Hwy only with Northern Surcharge (conditions apply). RVs are not permitted on roads designated on the official provincial or state maps as “other roads – gravel or dirt”.

BREAKDOWN AND REPAIRS
The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of a mechanical failure or breakdown.

The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject to the location of the vehicle and business hours of the repair facilities.

Within 24hrs. a report to the supplier/Insurance Company and/or Police must be iled in case of an accident, any damage to vehicle, vandalism, ire or theft, otherwise insurance is null and void.

The following damages are not covered by insurance and the cost of all resulting repairs and replacement vehicles are therefore the responsibility of the renter:

-Failure to maintain all fluid levels;
-Failure to use specified fuel or use of contaminated fuel; or fuel in water system;
-Operation by anyone under 21 years of age or not licensed;
-Driving under the influence of alcohol or drugs;
-Deliberate or wilful damage by renter or guests;
-Travel in restricted areas (see above);
-Towing of any kind;
-Freezing of the vehicle’s systems;
-More passengers than the available seat belts;
-Damage occurring in an accident that the renter has failed to report to the police;
-Nature damage (hail, storm, tornados)
-Motorhome theft in Montreal

TRAVEL INSURANCE
The supplier strongly recommend that clients ensure they take out the highest level of Travel Insurance. In many cases this will cover any losses incurred if the hirer is forced to cancel the hirer's booking.

ADDITIONAL DRIVER
There is no charge for additional drivers. However, all drivers must be present at the time of vehicle pick up.

We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.

SkyTrain’s newest line opened August 17, 2009 and brings rapid rail service to Metro Vancouver’s busiest northsouth corridor, linking Downtown to Richmond and Vancouver International Airport (YVR). The Line connects people to dozens of local destinations, including Coquitlam’s “Braid” SkyTrain Station where the supplier can easily pick-up and drop-off customers! Transfer from and to the Coquitlam “Braid” Skytrain Station is offered at no cost!

This is an easy, inexpensive and comfortable way to travel for customers from and to this location!

US BOARDER CROSSING:
Travelling into the United States is allowed at no extra charge.

CLEANING DEPOSIT:
$150 ($250 for the A Class) is processed at time of rental and refunded upon return of clean unit.

INSURANCE

The supplier maintains liability coverage on all its rental vehicles to a maximum of $5,000,000 for any bodily injury and property damage liability claims arising from the operation or use of its rental vehicles. Premiums for this basic public liability coverage are included in all rental rates, which also include premiums for collision insurance and comprehensive insurance (CDR) with a deductible of $1,500 per occurrence. All coverage and waivers are subject to the express terms of the rental contract and of the applicable motor vehicle insurance contract.

DAMAGE TO VEHICLE
Customer’s Responsibility
In the event of loss or damage to vehicle while on rental, whether or not due to the fault of the rental customer, the customer’s responsibility for direct and accidental loss or damage to the vehicle is limited to a maximum of $1,500 per occurrence. There is no limit however if vehicle incurs loss or damage not covered by the insurance as outlined in the insurance table.

DEPOSITS
At time of rental the supplier charge the renter’s credit card with a Cleaning Deposit ($150 / $250 Class A) and take a signed imprint as an Insurance Deposit. Deposits are refundable upon vehicle’s check-in if it has been returned: On time, un-damaged, clean, equipment complete, holding tanks empty and gas tank full. Deposits given by charge – credit cards, will be refunded by same.

Motorhomes are not permitted on Dempster Hwy, Inuvik, Northwest Territories, Mexico or Death Valley. Alaska and Yukon, Cassiar Hwy, Alaska Hwy only with Northern Surcharge (conditions apply). RVs are not permitted on roads designated on the offcial provincial or state maps as “other roads – gravel or dirt”.

BREAKDOWN AND REPAIRS

The Client acknowledges the possibility of a mechanical failure or breakdown, and acknowledges that such occurrence is an inherent contingency associated with the operation of the vehicle, and that such contingency is beyond the control of the Company. The client agrees to hold the Company harmless from and against any loss of time, transportation costs, inconvenience, and loss of food in the vehicle, and any and all expenses resulting from such contingency in the event of a mechanical failure or breakdown.

The Company will make all reasonable efforts to assist the Client to obtain help or arrange for repairs, subject to the location of the vehicle and business hours of the repair facilities.

Within 24hrs. a report to the supplier/Insurance Company and/or Police must be filed in case of an accident, any damage to vehicle, vandalism, fre or theft, otherwise insurance is null and void.

The following damages are not covered by insurance and the cost of all resulting repairs and replacement vehicles are therefore the responsibility of the renter:
- Failure to maintain all fuid levels;
- Failure to use specifed fuel or use of contaminated fuel; or fuel in water system;
- Operation by anyone under 21 years of age or not licensed;
- Driving under the infuence of alcohol or drugs;
- Deliberate or wilful damage by renter or guests;
- Damage to the interior of the motorhome;
- Travel in restricted areas (see the above);
- Towing of any kind;
- Freezing of the vehicle’s systems;
- More passengers than the available seat belts;
- Damage occurring in an accident that the renter has failed to report to the supplier, Insurance Company or police
- Motorhome theft in Montreal or Ottawa - when parked - (except specifc campgrounds)

Self-Caused Accidents:
The supplier reserves the right to deny replacing the vehicle depending on cause of accident and our availability.

The rates on this website are often heavily discounted. This is due to our negotiated rates and bulk buying power. On very rare occasions, a rate may be displayed incorrectly due to our, or a vehicle supplier's error. In such a case, if you book with us at a quoted rate that is incorrect, we will notify you of any price change and give you the option to proceed or cancel. We make every effort to keep information on our site up to date, but we cannot guarantee this website is free of errors or omissions and retain the right to update or change the information published at any time.

Liability
To the extent permitted by law we/the owners of this website will not be liable to you or to any third party (whether in contract, tort, or otherwise) for any direct, indirect or consequential loss or damage (including but not limited to any accident, injury, delay or loss of enjoyment) arising out of your reliance upon information contained on this website, including but not limited to your use (or inability to use) any products or services described or procured through this website.

When you pick up your vehicle, you will be required to sign a rental agreement with the supplier of the vehicle. Your rental and use of the vehicle will be governed by the terms of the rental agreement and any other documentation or information provided to you by the supplier at the time you pick up your vehicle. The rental agreement is between you and the supplier and we will not be liable to you or to any third party in relation to the terms of the supplier’s rental agreement or any other documentation provided to you by the supplier at the time of pick up.

While we will make reasonable efforts to ensure we are representing only reputable suppliers, we make no warranty about the fitness or suitability of any third party (supplier) product or service and will not accept responsibility for the quality or fitness of any vehicle. We welcome feedback from our customers on their experience with our suppliers. We may, at our discretion, provide you with reasonable assistance in resolving any dispute you may have with a supplier.

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.

Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.

A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.

If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Information disclosure
In booking on this website you acknowledge that we disclose your information to your selected Supplier in order to provide the requested rental services.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is increased, an additional deposit may be required. If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.

Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
