Orbit Motorhomes rental terms
Insurance:
Liability ( 5 Mio ) and collision coverage with CA$3500.00 deductible per occurrence for accidental damage, theft and vandalism is included free of charge with the basic daily rental rate. ( police report required ) Off-road accidents, fields, parking lots, or damage caused by striking overhead objects, undercarriage including tires, wheels, while backing up and damage caused by freezing of vehicle water system are not covered, customer assumes full responsibility. Additional coverage and reductions can be purchased as described below. ( CDW compulsory, VIP optional ) 1. CDW Collision Deductible Waiver reduces the renter’s responsibility to CA$ 1000 deductible per occurrence for accidents on public roads. 2. VIP Vacation Interruption Protection reduces the renter’s responsibility to CA$500 per occurrence. VIP also covers expenses in the event of a mechanical breakdown requiring the vehicle to be in repair for more than 12 hours.Radio, air conditioning, refrigerator, microwave, appliances, furnace, water pump and Cruise control malfunctions are not considered to be mechanical breakdown and no refunds are available for repair time on these items.Incurred expenses of up to CA$30 per person per day for lodging and up to CA$30 per group per day for other transportation is provided. A limit of CA$2000 per trip applies and this plan is not valid in case of an accident. Customer must present all receipts for refund of expenses. Security Deposit:
At the time of pick up the customer must leave a security deposit which is refundable when the vehicle is returned in the original condition. The deposits vary depending on the type of insurance coverage chosen. With Basic Coverage: CA$3,500
With CDW : CA$1,000
With VIP: CA$500 Security Deposits are accepted by means of Credit Cards. Responsibility:
Except with regard to VIP, Orbit Motors RV is not responsible for hotel charges, car rentals or any other incidental or consequential cost in the event of a breakdown. Our maximum liability shall be for refund of daily rental charge ( without km ) or fraction thereof. Substitutions:
Orbit Motors RV will make every effort to provide the customer with the type of vehicle confirmed. However if for some unforeseen reason, the requested model is not available, we do reserve the right to upgrade to a similar or larger vehicle without prior notification. Should a vehicle of lower grade be offered and accepted, our liability will be limited to a refund of the rental rate difference between model paid and taken. Driver Requirements:
The minimum age for qualified drivers is 20 years. Each driver must be in possession of a valid driver’s license from his or her country of origin. Parking/Traffic Violations:
Customers are responsible for reporting and payment of all parking/traffic violations at rental termination. None reporting of parking/traffic violation breaches the Rental Contract and will result in an administrative charge of up to CA$100 in addition to the fines. Travel Restrictions:
Vehicles are restricted from travelling on non public roads, logging roads, off road, Logan’s Pass Montana, Dempster Highway, Dalton Highway,
Highway #20 ( Bella Coola ), Highway # 27 ( Kitwanga Upper Liard ), Death Valley and other desert areas during hot periods, New York City and Mexico. The VIP plan is void should this rule be violated. Customer assumes all breakdown responsibility including vehicle repairs, towing cost, loss of use etc. if any of these travel restrictions are violated. Northern Travel:
Travelling to Alaska, Yukon and Northwest Territories is permitted and must be confirmed in advance. A CA$ 450.00 prepaid non-refundable surcharge is required. Early Returns, Late Pick Ups and Unused Km:
No refunds will be made for early returns, late pick ups, or unused kilometers. No Show:
A customer failing to arrive on departure day or declines vehicle at departure for whatever reason is considered as a departure day cancellation. Fuel Consumption:
Gasoline costs are customer’s responsibility. As fuel consumption varies depending on many driving conditions, no warranties are made. Charges for Kilometres Traveled
Base rental rates quoted come with 100km free per day, additional mileage at CACA$0.22 per mile. Extra pre paid km packages are available. One-Way Rentals:
One-way rentals are available between most rental stations by advanced reservation only.

For Motorhomes and Campers there is a one-time preparation fee of CA$65 which includes the first tank of propane and toilet chemicals. Vehicle Return:
Vehicle must be returned on time. A fee of CA$25 per hour will be charged for each hour the vehicle is overdue after 12.00 PM. In addition, a late return will void our responsibility to the customer for departure transfers. Customer agrees that he will return unit in the same condition as he received it. ( excluding normal wear )
A fee of up to CA$ 200 will be charges if the interior of the vehicle has not been cleaned. Damages or loss of equipment will be paid for by the renter.
Holding tanks must be emptied prior to return of the vehicle or be subject to an additional dump charge up to CA$ 100.
Fuel tank has to be full or be subject to a refueling charge up to CA$ 200 In Case of Emergency:
In the event of an accident, renter must notify Orbit Motors RV within 24 hours, and make a full report in writing. If a mechanical breakdown should occur, Orbit Motors RV provides a 8.00 AM – 11 PM toll free customer assistance line. All repairs require authorization by phone. Tools for vehicle repair are not provided since customers are not authorized to make repairs. Customer expenses for authorized repair, oil change etc. will be reimbursed upon presentation of receipts. Other Rental Items:

Our total liability to you in relation to your use of this website and the information contained on this website will not exceed the dollar amount of the deposit we have received from you in relation to your booking/rental. Refunds will not be made for bookings cancelled due to inclement weather. Again, we strongly recommend that you take out travel insurance. Your use of this website is governed by the laws of New Zealand and the jurisdiction of the New Zealand courts.
Booking information
To make a booking you must complete our booking form which is easy to follow and secured with the latest encryption technology. Once we receive your form, we will, subject to availability, confirm your booking by emailing you a confirmation voucher and invoice. The deposit required to secure your vehicle (as shown on the secure booking page) will only be processed on your credit card when your booking is confirmed. Please note that a 1.75% credit card charge will be added when your payment is processed.
A booking is confirmed when you have been emailed a confirmation voucher and at this stage the deposit is processed on your card and becomes non-refundable and any cancellation fees stated in the supplier's terms apply. Upon receipt of your confirmation, please check your details carefully and notify us immediately if there are any incorrect details, as it may not be possible to make changes at a later date.
If you are booking via phone, please make sure you have read the terms and conditions of the vehicle you wish to rent first. Our reservations consultant will ask you if you have read the terms and agree to them before proceeding. The onus is always on the renter to ensure they make themselves fully aware of the terms displayed on our website.

Amendments
Please note that some suppliers treat an amendment as a new booking and apply the rate current at the time the amendment is made to recalculate the entire booking amount (not just the days changed). If the rental period is shortened which results in a reduction of the rental charges, the deposit amount will remain unchanged, and the difference between the original and revised deposit is forfeited (it cannot be used towards remaining rental charges). To request a change to a confirmed booking, please use the alterations request link on your confirmation. Any alterations are subject to availability and the approval of the supplier. In addition to the alteration policy of the supplier stated in their terms, the following charges will apply:
Car rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 25.00
To add or remove extras to/from a confirmed booking: 10.00
Motorhome rental alterations (all charges stated in local currency):
To change dates or times that result in a recalculation of rental rates, or to change vehicles or locations: 75.00
To add or remove extras to/from confirmed booking: 20.00
The alteration fee will not be charged if your alteration request is not possible.
Vehicle Capacity and fitness to drive
Under no circumstances are you permitted to carry more passengers than the vehicle you rent is legally registered to carry, and if you do your insurance may be invalidated. The number of seatbelts (and passengers) is indicated next to each vehicle on this website. Luggage capacity where shown is an indication only and we will not be responsible should you be unable to fit your entire luggage into a vehicle. It is your responsibility to choose a journey that is within your capabilities. A vehicle supplier can refuse to rent a vehicle to any person who is in their opinion unfit to drive or does not meet eligibility requirements. In such circumstances we will have no further liability to you.
